Position Overview

The Executive Assistant serves as the right hand to the CEO and the face of RedTag, blending the responsibilities of an Executive Assistant, Personal Assistant and Office Manager. This individual will act as a trusted partner to our CEO, managing key relationships, screening priorities, and ensuring day-to-day operations run seamlessly. The ideal candidate will embody trustworthiness, professionalism, organization, and the ability to navigate relationships with diplomacy and respect.

This role is pivotal in enhancing the CEO’s effectiveness and maintaining a welcoming, organized, and efficient environment that reflects RedTag’s values.

Key Responsibilities

Executive Support (60%)

  • Serve as a trusted advisor and confidant to the CEO and executive team, manage sensitive information with utmost discretion.
  • Screen and prioritize requests for the CEO’s time and attention, executive and personal schedule management.
  • Organize and manage the CEO’s calendar, schedule meetings, both personal/professional and ensure adequate preparation.
  • Facilitate communication on behalf of the CEO, draft emails, memos, and other correspondence.
  • Provide meeting support, including but not limited to agendas, notes, preparation of reports, presentations and documents, and follow-up action items.
  • Coordinate Client needs and internal support for events, conferences, meetings/workshops, executive travel arrangements, accommodations, and itineraries as needed.

Reception & Office Presence (30%)

  • Welcome clients, employees, partners, and visitors with professionalism and enthusiasm, ensuring a positive first impression of RedTag.
  • Manage the front desk and oversee the overall appearance and organization of the office.
  • Answer and route incoming calls, ensuring inquiries are handled promptly and professionally.
  • Serve as the first point of contact for office equipment and technology management including procurement and troubleshooting.
  • Maintain an organized and efficient workspace that reflects RedTag’s dynamic culture.

Relationship & Priority Management (10%)

  • Build and maintain strong professional relationships with internal teams, clients, and external existing and potential Clients.
  • Serve as a buffer for the CEO, managing competing priorities with respect and tact.
  • Proactively identify and resolve challenges, ensuring the CEO’s time is focused on high-priority initiatives.
  • Manage vendor relationships and negotiate contracts as necessary.

  • Communication Skills: Strong verbal and written communication skills are essential for interacting with executives, team members, clients, and external stakeholders. This also includes being an effective liaison between different departments and ensuring clear and timely communication.
  • Problem-Solving Abilities: Executive Assistants often encounter complex challenges and must be adept at finding solutions quickly and efficiently. This includes troubleshooting office issues, resolving conflicts, and addressing logistical problems without burdening the CEO.
  • Attention to Detail: Executives rely on their assistants to ensure accuracy in documents, reports, and communications. Attention to detail is critical in tasks such as proofreading, data entry, and maintaining organized records.
  • Time Management: Efficiently managing time, prioritizing tasks, and meeting deadlines is a key competency. This includes the ability to adapt to changing priorities and handle urgent matters promptly.
  • Confidentiality: Executive Assistants often deal with sensitive information and must maintain a high level of confidentiality and discretion.
  • Technical Proficiency: Proficiency in office software such as MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools is important. Additionally, knowledge of office equipment and technology is beneficial.
  • Adaptability: The ability to adapt to changes in priorities, work processes, and technology is important. Executive Assistants must be flexible and proactive in handling new challenges and opportunities.
  • Customer Service Orientation: Providing excellent customer service to internal and external stakeholders is essential. This includes being responsive, courteous, and professional in all interactions. Fosters valuable relationships within the community and beyond.

Required Qualifications

  • Proven experience as an Executive Assistant, Chief of Staff, or similar role.
  • Exceptional organizational and multi-tasking skills with a high attention to detail.
  • Excellent interpersonal, written and verbal communication skills with a professional and proactive demeanor.
  • Proficiency in Microsoft Office Suite, Google Workspace and other office related technology.
  • Ability to manage competing priorities and maintain professionalism under pressure.
  • Dependable, punctual and capable of managing multiple responsibilities.
  • Ability to handle confidential information with discretion and maintain a high level of professionalism.

Preferred Qualifications

  • Bachelor’s degree in business administration or related field.
  • Prior experience in a leadership or client-facing role.
  • Familiarity with office management and scheduling experience.
  • Knowledge of the Louisville business landscape and community connections.
